Privacy Policy

As a freight forwarder we handle personal data to answer your questions and to move your goods: the names and contact details of the people we deal with, and the details that shipping documents and customs require. This policy explains what we collect, why, who receives it and what your rights are.

1. Who is responsible

KC International Netherlands B.V., Beechavenue 174, 1119 PS Schiphol-Rijk, The Netherlands (“KC International”, “we”) is the controller for the personal data described here. Questions and requests about your data: info.ams@kc-intl.com or +31 (0)20 654 4758.

2. What we collect, and why

When you ask for weekly rate updates

Your company name and e-mail address, and the trade lane, service and carrier you asked about. We use them to send you our published rates for that lane by e-mail every week. Legal basis: your consent. You can stop the updates at any time by replying to one of them or by writing to us.

When you visit this website

Our servers record technical data of each request, including your IP address, the page asked for and the time. We use it to keep the website running and secure: to limit the number of requests per address and to detect and block abuse. Legal basis: our legitimate interest in a secure website.

This website uses no analytics, no tracking and no advertising cookies, and loads nothing from third parties. The only cookie it sets is a technical security cookie with the weekly rate updates form, which protects the form against forged submissions. It contains no personal data and needs no consent.

When you use the Client Portal

The names, e-mail addresses and phone numbers of the users of your company, their sign-in details, and what you do in the portal: quick quotes, order and booking requests, documents you upload or download, and messages. The portal keeps what it needs to keep you signed in in your browser. We use this data to give you access, to carry out your requests and to keep the portal secure. Legal basis: the agreement with your company, and our legitimate interest in a secure service.

If you use the AI assistant in the portal, the text you give it is sent to an AI service provider (Anthropic) to read the shipment details from it. The portal saves the quote or order you confirm, not the text itself. Do not paste in personal data that the request does not need.

When we handle your shipments

Whether you send a request by e-mail or through the portal, carrying it out requires the names, addresses and contact details of shippers, consignees, notify parties and contact persons, and the data on transport, customs and other documents, such as bills of lading, invoices, packing lists and licences. We use this data to arrange transport, storage and customs clearance, to invoice, and to meet our legal obligations. Legal basis: performance of the agreement, and our legal obligations under customs and tax law.

When you e-mail or call us

Your contact details and the content of the correspondence, to answer you and to carry out what you ask. Legal basis: the agreement, or our legitimate interest in answering you.

3. Who receives your data

We share personal data only as far as needed for the purposes above:

  • Carriers and logistics partners: shipping lines, airlines, road hauliers, terminals, warehouses and our agents in origin and destination countries, so that they can carry out the transport and handling.
  • Customs and other authorities, where the law requires it, for example for customs declarations, security filings and export control.
  • Our IT providers, who process data on our behalf under a data processing agreement: Google Cloud, which hosts this website, the Client Portal and our databases; our e-mail provider; and the AI service provider of the portal's assistant.
  • Our advisers and auditors, where needed, under a duty of confidentiality.

We do not sell personal data, and we do not use it for advertising by others.

4. Data outside the European Economic Area

Our work is international: a shipment from Europe to Asia needs data at the carrier and at our agent at destination. Where we send personal data to a country outside the European Economic Area, we do so because it is necessary to perform the transport you asked for, or on the basis of an adequacy decision of the European Commission (such as for South Korea and Japan), or with the European Commission's standard contractual clauses or an equivalent safeguard. Our IT providers use such safeguards where they process data outside the EEA.

5. How long we keep it

  • E-mails with questions that did not lead to an agreement: as long as needed to answer and follow up, and no longer than two years after our last contact.
  • Weekly rate update requests: until you stop the updates.
  • Server and security logs: normally 30 days; longer only when needed to investigate an incident.
  • Client Portal accounts: as long as the account is active. When a user is removed, their access ends; what they did in the portal remains part of your company's records.
  • Shipment, customs and invoice records: seven years, as Dutch tax law requires, or longer where customs law requires it.

6. Security

We protect personal data with measures appropriate to the risk. All traffic to this website and the Client Portal is encrypted (HTTPS). Data is stored on servers only reachable by our systems, never directly from your browser; access within KC International is limited to the people who need it. Form submissions and requests are limited per address to stop abuse.

7. Your rights

Under the General Data Protection Regulation (GDPR) you have the right to:

  • access the personal data we hold about you;
  • have incorrect data corrected;
  • have data erased, where we have no legal obligation or other ground to keep it;
  • restrict our use of it, or object to use based on our legitimate interest;
  • receive data you gave us in a common format (data portability);
  • withdraw consent at any time, for example for the weekly rate updates, without affecting what we did before.

Send your request to info.ams@kc-intl.com. We answer within one month. We may ask you to confirm your identity first.

If you think we handle your data wrongly, please tell us first so that we can put it right. You also have the right to complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

8. Automated decisions

We make no decisions about you based solely on automated processing. Prices in quick quotes are calculated automatically from our rate sheets, but an agreement comes about only when we confirm your request (see our Terms of Service).

9. Changes

We update this policy when our services or the law change. The version on this page applies from the date shown at the top.
